Outlook Migration

Introduction

Montgomery County is moving to the Microsoft Office 365 cloud based software and services suite.  This is a major change in both the software used and the way it will be used going forward. Due to the size, scope, and the impact to the staff, this project will be rolled out in over the next 18-24 months until all staff and applications have been upgraded to the new cloud-based technologies which include Microsoft Office 365 Outlook, Word, Excel, PowerPoint and more

Office 365 - A new way of doing business

The move to Office 365 represents a paradigm shift in the way business will be conducted going forward.  Over the next months and after the Outlook migration other services will be introduced for general use by staff.  You may experience some of the new features that accompany the upgraded version of Outlook. For now it is best to focus on learning how to email in Office 365 and focus on the other features at a later time.

Mail migration

The focus of the first phase of this effort is to move the email (Outlook) mailboxes, contacts, calendars and tasks to Office 365 cloud based services.  After the mail migration has been completed, each department will reconcile Public Folders and move their personal storage files (PSTs) with the help of their IT Contacts.

This Site

This site is designed to provide staff and the IT contacts with useful information to help them trough this transition.  The general layout is:

 

Schedule / Status - (December 15th, 2014)

The migration groups, schedule and status display provides key information regarding the Group which a department is part of, when their migration activities are slated to begin and a status indicator to show what stage of migration each is in.  This will be changed on a weekly basis updating the status of each department in migration until they have completed their migration.

Migration Support Documents

Migration support documents have been collected to provide staff with useful information to help them get the most from the site.  There are two major groups of staff in the County that are migrating. One is those who use the Office 2003 (60%) the others who are using Office 2007, 2020 or 2013 (40%).

Although migrations of Office 2007 and above versions of Outlook are straight forward, the Office 2003 migration is very different.  There will be a totally new interface and thus all of the staff will be using the new Office 365 Outlook OWA 2013. The OWA tutorials will be especially useful for those staff using Outlook 2003.  While staff who currently use 2007 versions or higher will be less impacted by this change, the videos and tutorials are still applicable.  We recommend taking a few minutes to look through them for a brief overview of the new OWA 2013.

 

Find your version of MS Office

To determine which resources are most useful to you, it is important that you determine which version of Outlook you are using. If you are using 2003 please review this site very closely as much of its information is targeted for that group.

Typical Migration Activities

Migrations, (referred to as Migration events), are performed with groups of departments being migrated simultaneously.  The typical migration event is 4 weeks in duration. During that time the following activities take place

  • Prepare staff for migration
  • Migrate
  • Post migration follow-up

Although specific migration events many differ slightly, especially in the area of when migrations occur, the general flow is the same.

Education

These tutorials provide a basic walk through of key functions of the OWA user interface. Staff should take the opportunity to review them before their department migrates. Although these tutorials do not show all the capabilities of OWA they address the most beneficial basic operations of the application.The tutorials are provided in two forms, PowerPoint storyboards or Closed Captioned videos.  The content of each is the same! We have provided these tools to fit the needs of different learning styles. Please choose the option that best fits your needs.
